Membership Coordinator & Administrator

The Australian Law Librarians’ Association Ltd (ALLA) invites expressions of interest from members to serve as Membership Coordinator and Administrator to the Association. The member in this role generates and oversees the membership process, including book keeping tasks for ALLA Ltd. consistent with the policy set by the ALLA Board and to meet the needs and interests of ALLA members.

This is a role for an ALLA  member who has excellent organisation skills, accounting experience and who enjoys book keeping. Familiarity with Xero or experience with other book-keeping programs or systems is an advantage, and strong Excel skills are required. Excellent communication skills and a strong attention to detail are essential.

Term of Appointment: Three years, commencing on January 1, 2022 with option of a renewable appointment. Remuneration: Annual honorarium of $5000.

Duties and Responsibilities

  • Overall responsibility for the organisation and management of the annual membership renewal process on behalf of ALLA – includes reviewing systems and processes
  • Updating membership records for members who renew, and deactivating accounts for those who don't renew
  • Maintain the register of ALLA members
  • Process new ALLA membership applications - including creating new website accounts for members
  • Provide monthly reports to the Divisions with updated membership details (liaising with the Treasurer s to timing and disbursements).
  • Liaise with the Divisional presidents or their nominated representative as to membership queries/actions.
  • Manage the membership email account
  • Send a monthly list of new members to the Board for approval one week prior to the board meeting
  • Respond to queries from individuals interested in obtaining membership of ALLA.
  • Ability to attend ALLA conferences and Board meetings of the ALLA, and to participate in discussions of the ALLA membership Committee via meetings, email, telephone, mail and other identified communication channels.
  • Reports to the ALLA Board each month in person or by written report.

Administrative and book keeping duties of the role include working closely with the ALLA secretariat NFPAS, the ALLA Treasurer and the ALLA Board

  • Manage the renewal process, acknowledge and reconcile receipt of payments, liaise with the Treasurer where needed.
  • Process invoices and payments
  • Reconcile payments to and from working and reserve bank accounts in Xero
  • Schedule payments for approval using online banking
  • Creation of invoices and bills in Xero/online accounting software
  • Preparation of figures for disbursement of fees to state divisions
  • Bank reconciliations
  • Liaise with Treasurer on book-keeping issues and assisting with reporting with monthly  and year-end financial reporting
  • Develops and maintains a manual of procedures for book-keeping and associated administrative processes

ALLA members would have received an email from Emma Joneshart, President of ALLA Ltd regarding a call for nominations for members to join the ALLA Ltd Board of Directors. Nominations will be voted upon at the ALLA AGM, held on Thursday 23 September during the ALLA Virtual Conference 2021 .
